Prepare a PDF that is ready to fax

Check file size, page count, readability, and recipient details before sending a document.

A little preparation makes a fax easier to read and helps avoid preventable retries. Use the final version of the document, then check both the file and the destination before sending.

Check the upload requirements

  • Use a valid, unencrypted PDF.
  • Keep the file at or below 2 MB.
  • Send between one and five pages per fax.
  • Check every page for readable text, complete edges, and the correct orientation.

An image file or password-protected PDF will not meet these requirements. If a scan is too large, export a smaller PDF and inspect it again before uploading. A smaller file is only useful if its contents remain legible.

Include the details the recipient needs

A cover page can identify the intended recipient, the sender, and the expected page count. If you include one, it counts toward the five-page limit. Check whether the recipient has specific instructions for their fax number or document format.

Send once, then follow the status

Open the fax area of your dashboard, select your active fax-capable number, upload the PDF, and enter the supported recipient number. Check those details before sending.

After submission, review the fax history. A queued or sending status is still in progress; wait for the terminal delivery result before deciding whether to resend. If it fails, confirm the destination and file first. Repeated submissions can create separate transmissions and consume more allowance.

Fax usage measures transmission time, rather than a fixed number of pages. Page complexity and the receiving connection can affect how long a transmission takes.
